Job description
Reports to: Head of Lettings
Department: Lettings and Management
Location: 24 Charlotte Street, London, W1T 2ND.
Tenure: Permanent
Hours: 40 per week (or as required to ensure duties are successfully accomplished) Monday-Thursday: 08.50-18.00
Friday: 08.50-17.30
Weekend emergencies where required. Time off in lieu offered although we do have an out of hours service.
Key Responsibilities
The ability to able to identify the right cost-effective solution, be it a quick triage video call with the tenant or an onsite visit to trouble shoot a solution and if not instructing a specialist contractor, all whist maintaining constant and clear communication with our landlords and tenants, keeping them updated within the timescale promised.
Job purpose
To ensure we “exceed expectations at every door” with all tenants and landlords by responding in a timely and professional manner.
To provide excellent communication, problem solving and record keeping skills whilst conquering any issues that arise from the management portfolio.
Regular in person property inspections will be required, intelligent analysing of inventory check out reports and negotiating skills to complete the deposit returns.
Keeping up to date on legislation is key, including fire regulation and being able to apply for specialist licensing to include HMO, additional HMO and Selective Licensing.
Being able to adapt and deal with multiple personality types when communicating with various landlords, tenant and contractors.
Ensuring clear and precise records of actions and discussions are kept using Reapit, Business WhatsApp and the shared drive.
Raising works orders to correspond with agreed works with the landlord and contractors.
Rasing and managing insurance claims to completion.
Liaising with Block Management companies where needed.
Undertaking property inspections and producing accompanying reports for our landlords within the timescales promised and keeping regular track of when these are due.
Making sure all contractors used are costs effective, diligent, insured and most importantly trusted and ethical!
Block Management – Overseeing and managing a small portfolio of landlord owned properties and ensuring the fire safety reports and the building are being kept up to a safe and good standard. Training can be given.
